A letterhead is the smallest piece of branding with the largest number of official uses: the declaration a bank wants "on company letterhead", the authorisation letter for a GST visit, the quotation cover, the NOC for a tenant, the experience certificate, the reply to a notice. This generator designs a professional A4 letterhead with your logo, legal name, address, GSTIN/CIN/Udyam number, contact details and footer, and lets you type the letter body and export a PDF — or download a blank template for Word and Google Docs. It runs in your browser; your details are saved locally for reuse.
What belongs on a letterhead
| Element | Notes |
|---|---|
| Logo and legal name | The registered name as on PAN/GST, with the trade name if different |
| Registered address, phone, email, website | The address on your GST certificate |
| GSTIN | Expected on letters to banks, vendors and government |
| CIN / LLPIN / Udyam number | Companies Act requires CIN, registered office and contact on all official letters; MSMEs benefit from showing Udyam |
| Footer | Bank details for vendor letters, or a one-line tagline; page number |
| Date, reference number, subject, salutation, signature block | The letter itself |
Under the Companies Act, a company must print its name, CIN, registered office address, phone, email and website (if any) on all business letters, billheads and official publications — a letterhead is the easiest way to comply.
How to use the generator
- Enter business details once; upload a logo (a transparent PNG from the background remover looks best).
- Choose a layout — logo left, centred, or a coloured header band — and a colour that matches your brand and email signature.
- Type the letter: date, reference, addressee, subject, body, sign-off. The editor handles paragraphs and simple lists.
- Add a signature image from the digital signature maker or leave space to sign after printing.
- Download the PDF, or export a blank template (DOCX/Google Docs-compatible) for your team.
Letters small businesses write most
- Authorisation letters for GST, bank and marketplace representatives.
- Declarations and undertakings for tenders and vendor registration (attach with the PDF merge tool).
- Quotation and proposal cover letters — the price itself goes on the service quote.
- HR letters — offer letters, appointment, experience and relieving letters, internship certificates.
- Demand and legal notices — the cheque-bounce notice under Section 138 must be sent in writing within 30 days; the timeline is in Cheque bounce: what to do.
- Replies to notices from GST or income-tax departments, on letterhead, with reference numbers.
- Medical and clinic letters — referrals and fitness certificates alongside the prescription builder.
- Licence applications, such as the Shop and Establishment registration — see the step-by-step guide.
Signing letters
Printed and signed is still the norm; for PDFs, a signature image is widely accepted for commercial letters, while contracts, statutory filings and anything likely to be disputed deserve a DSC or Aadhaar eSign. The legal weight of each option is compared in Digital signatures in India. Whatever you use, keep a dated copy in a "letters out" folder with its reference number.
