Experience Letter Generator

Draft corporate experience and relieving certificates with dynamic designations and dates.

100% client-side. Nothing you type is uploaded or stored on a server.

An experience letter (and its cousin, the relieving letter) is the document every employee needs for their next job's background check, and the one small employers most often delay or get wrong — missing dates, no designation, no letterhead, unsigned. This generator drafts a clean, professional experience certificate or relieving letter on your letterhead with the employee's name, designation(s), tenure, a short description of responsibilities and conduct, and the signatory's details, exported as a PDF ready to sign. It runs in the browser; nothing about your employees is uploaded.

Experience letter vs relieving letter

  • Experience letter / certificate: confirms that the person worked with you, in what role, for what period, and (optionally) how they performed. Issued on request, sometimes years later.
  • Relieving letter: confirms that the employee has been relieved of duties on a specific date after completing notice and handover, with no dues pending. Issued at exit, and required by most new employers before joining.
  • Salary certificate: separate, states the last drawn salary; combine only if the employee asks.

Under the Code on Wages, full and final settlement is due within two working days of the last day; the letters usually go out with it. The employee's side of that process is covered in Notice period, last working day and full & final settlement.

What to include

ElementNotes

Date and reference numberHR/EXP/2026/041 keeps records searchable
Employee name and IDAs per records
Designation(s) and departmentWith dates if promoted
Tenure"from 3 January 2022 to 30 September 2026"
Nature of work1–3 lines; factual, not evaluative unless positive
Conduct"was found sincere and hardworking" is standard; avoid negative remarks — issue a plain letter instead
Closing"We wish them success in future endeavours"
SignatoryName, designation, signature, company seal

Keep the tone neutral and factual. A letter is not a reference; if you cannot say something positive, state only role and dates.

How to use the generator

  1. Fill in your company profile once (it is remembered) and the signatory's name and designation.
  2. Enter the employee's name, ID, designation, department and joining and leaving dates; add earlier designations if they were promoted.
  3. Choose experience or relieving and pick a wording template; edit the responsibilities and conduct lines.
  4. Preview, download the PDF, sign (or add a signature image from the digital signature maker) and stamp.
  5. Email a PDF copy and keep one in the personnel file.
  • There is no central statute that compels an experience letter for every private employee, but Shops and Establishments rules in several states and standing orders in factories require a service certificate on request — and withholding it to force recovery of dues is a bad practice that courts frown on.
  • Do not put confidential remuneration or disciplinary details in an experience letter.
  • For interns, use the internship certificate maker instead; the wording differs.
  • Digital signatures are valid; a DSC or Aadhaar eSign is stronger than a pasted image for documents that may be verified later. See Digital signatures in India.
  • Background-verification agencies call the number on the letterhead, so make sure it is current.

Frequently asked questions

Is an employer legally required to give an experience letter?

Most state Shops and Establishments Acts and industrial standing orders require a service certificate on request. Even where not strictly mandated, refusing one is poor practice and often challenged.

Can I mention that the employee left without notice?

Keep the experience letter factual — role and dates. Do not add negative remarks; if the exit was irregular, you may decline to issue a relieving letter until dues are settled, but state the reason in writing.

Should the letter show the salary?

No. Issue a separate salary certificate if the employee asks for one.

Can the letter be signed digitally?

Yes. A DSC-signed PDF is legally equivalent to a wet signature under the IT Act; a scanned signature image is commonly accepted but easier to dispute.

How long should I keep copies?

Personnel records are generally kept for at least three years after exit, longer if there is a dispute or a statutory requirement in your industry.
